The problem: the call you can’t take
One in four calls to a business goes unanswered (CallRail). Voicemail saves very little: 82% of people say they would call a competitor, and only 42% leave a message (CallRail 2025). More than 7 in 10 customers expect an answer the same day (Jobber 2026).
For a solo owner or a small crew, it isn’t a lack of effort: you can’t answer with your hands in an engine. The customer doesn’t know that. They call the next one.
What is an AI receptionist?
It’s a program that answers in your business’s name when you don’t pick up. It doesn’t replace your judgment: it makes first contact. A good AI receptionist:
- texts the customer within a minute of the missed call (or answers by voice, if you want);
- answers simple questions with your information: your hours, your services, your starting prices;
- takes the request: which service, which vehicle or address, when;
- hands it to you in two lines, so you call back when your hands are free.
8 things to check before you choose one
- It answers within a minute. Not within the hour. The customer who just reached nobody is already dialing the next business.
- French and English. It starts in your business’s language and follows the customer’s.
- Only your prices. It gives your starting price, never another. Anything that needs a quote becomes a request for you.
- It says it’s an AI when asked, and a customer can always ask to speak to you.
- Emergencies go to your cell right away: a complaint, damage, a hazard. It goes quiet on that thread.
- You don’t have to open anything. If you have to watch one more app, it won’t work. Everything should reach you by text.
- You keep your number. Unanswered calls are forwarded to it; your customers dial the same number as before.
- You see what it did. A count every week: missed calls, customers texted, requests handed over, what still needs your call.
What it must never do
Make up a price, a time or a promise. Give technical advice (“it’s probably the compressor”). Offer a discount on your behalf. When it doesn’t know, it says so and hands it to you. Ask any provider how they prevent these mistakes, and what happens when the AI doesn’t have the answer.
In Québec, two laws cover the messages sent to your customers: Law 25 (personal information) and Canada’s anti-spam law (CASL). In practice, the receptionist must identify itself in your business’s name, keep only what it needs to answer, and respect a customer who asks it to stop. A good provider handles this for you.
Text or voice?
Text has three advantages: the customer replies when they can, the conversation stays in writing (address, vehicle, timing), and you can read it in ten seconds. Since most people don’t leave a voicemail, a text within a minute catches the ones who would have left.
Voice reassures customers who want to talk to someone. The right choice for most owners: text first, voice as an option.
What does it cost?
| Cost per month | What you get | |
|---|---|---|
| Voicemail | $0 | A message, when the customer leaves one (4 in 10) |
| Answering service | US$95–270 | A person who takes a message |
| Part-time receptionist | ≈ CA$1,750 (20 h × $20/h, Québec) | A person, when they’re there |
| Twenty Five AI receptionist | CA$149, first month free | A text within a minute, the request taken, two lines for you |
Other AI receptionist providers’ prices vary; compare on the 8 points above, not only on price.

How to set it up in an hour
- Your information. Your services, starting prices, hours and area. A photo of your price list is enough; it can also read your website.
- Your instructions. How you want it to speak, what it must never say, who to call in an emergency.
- Call forwarding. On your cell, turn on “forward when unanswered” with a code from your carrier. Calls ring you first; the ones you don’t take go to the receptionist.
- A test. Someone calls your number, leaves no message, and you watch the text arrive.
Common questions
Does an AI receptionist replace a real receptionist?
No. It makes first contact when you can’t answer: it takes the request and hands it to you. Decisions, complex quotes and the relationship stay with you.
Will my customers know it’s an AI?
They should. A good AI receptionist introduces itself in your business’s name and says so when asked. A customer can always ask to speak to you.
Do I keep my number?
Yes. Only the calls you don’t take are forwarded, with a code from your carrier. Customers dial the same number as before.
Does it speak French?
Yes. It starts in your business’s language and switches when the customer writes in the other one.
How long does setup take?
About an hour of your time: your information, your instructions, call forwarding and a test.
