EU AI Act policy template for SMEs that use AI.
If your team uses ChatGPT, a CRM with lead scoring, a website chatbot or an HR tool with screening features, your organisation is a “deployer” under the EU AI Act. Deployers already have obligations: staff AI literacy (Article 4) and the ban on prohibited practices (Article 5) have applied since 2 February 2025, and transparency duties for chatbots and AI-generated content (Article 50) apply from 2 August 2026.

Put every tool anyone uses into the AI System Register and mark its risk tier.

Common questions
Am I a deployer under the EU AI Act?
If your organisation uses an AI system under its own authority in a professional context, for example ChatGPT, AI features in your CRM, or a website chatbot, you are a deployer.
What does the AI Act require from deployers right now?
AI literacy for staff and avoiding prohibited practices (since 2 February 2025), transparency notices for chatbots and AI-generated content (from 2 August 2026), and extra duties if you use high-risk systems such as some HR screening tools.
Does it apply to companies outside the EU?
It can, if the AI system is used in the EU or its output is used in the EU.
